Commercial invoice basics

What is a commercial invoice?

A commercial invoice records the sale of goods sent from an exporter to an overseas buyer. Freight forwarders, carriers, customs brokers and customs authorities use its information to identify the parties, understand the goods and assess the declared transaction value.

It is different from a normal domestic tax invoice because an export invoice usually needs shipping details such as country of origin, destination, Incoterm, transport method and an HS code for each product. The invoice should agree with the related packing list, especially for product descriptions and quantities.

Common questions

Commercial invoice FAQ

Is this the same as a proforma invoice?

Can I add shipping charges and discounts?

Yes. Nestaon includes separate freight and discount fields and calculates the final total automatically.

Does the invoice need to match the packing list?

Yes. Product descriptions and quantities should be consistent. The packing list adds physical information such as packages, dimensions, net weight and gross weight.

Is every export country’s format identical?

No. Required wording and documents can vary by destination, commodity, carrier, payment arrangement and local law. Check your final document with the relevant shipping or customs professional.
