Packing list sections

1. Document reference

Use a unique packing list number and date. Where possible, include a reference that connects the document with the commercial invoice, sales order, AWB or bill of lading.

2. Exporter and consignee

Enter complete names and addresses for the sender and overseas recipient. The party details should agree with the related invoice and shipping instruction.

3. Shipment information

Record the destination, country of origin, transport method, Incoterm and shipping reference. These details identify the movement connected to the package table.

4. Package table

Group the cargo logically by carton, box, drum, bag, crate or pallet. For each group, add a useful description, number of packages, net weight, gross weight and dimensions with the unit of measurement.

5. Totals and notes

Check that total packages, total net weight and total gross weight match the actual cargo. Add relevant marks, handling instructions or package references in the notes when required.

Common packing list mistakes

Missing units

State whether dimensions use centimetres, inches or another unit and whether weight is in kg or lb.

Net and gross reversed

Gross weight should include the packaging and should not be lower than the net weight.

Wrong package count

Compare the total with the actual labelled cartons, pallets or other shipping units.

Invoice mismatch

Descriptions and quantities should agree with the related commercial invoice.

Unclear grouping

Separate different package types or product groups so a handler can understand the cargo.

Incomplete addresses

Use the same complete exporter and consignee identities across the shipment documents.
